[Google Cloud Blog] Starting over on Google Cloud with Managecore: BK Medical shares its SAP migration story

When BK Medical, a leading medical device manufacturer, became an independent company in 2019, it faced a major technological hurdle: separating its own SAP environment from that of its parent company.  The well-established maker of surgical ultrasound machines is now striking out on its own after being part of Analogic Corporation for four decades. “We’re a 40-year-old startup,” jokes Michael Puleo, Global Director of Information Technology at BK Medical. “We have to stand up on all our own applications and run our own company.”

BK Medical uses SAP as its system of record for ERP, which includes its financials, sales, distribution, project management, and HR functions. At the time of the divestiture , Analogic managed its own on-premises deployment of SAP ECC 6.0, and BK Medical knew that it wanted to deploy its own SAP environment in the cloud. With a mandate to complete the split as quickly as possible, BK Medical decided on a “lift and shift” approach with an eye toward migrating to a SaaS deployment in the future. “Nobody wants to have a big footprint in a data center anymore,” Puleo explains. “This would be a good opportunity to move to the cloud, so that was our approach.”

BK Medical chose Managecore as its implementation partner, which in turn proposed Google Cloud for cloud infrastructure. Once the migration was complete, Managecore would continue to manage the SAP landscape in the new Google Cloud environment.

From the outset, the small BK Medical IT team relied heavily on Managecore’s experience and expertise, having left behind its former SAP administrators when it parted ways with Analogic. “As soon as we signed the contract, [Managecore] jumped on board and we started the project,” Puleo recalls. “While we took care of the business requirements, Managecore handled everything on the technical side. They would let me know if we fell behind and kept me informed about any risks they anticipated. They really made us feel comfortable that they knew what needed to be done.”

A rapid move to Google Cloud

From start to finish, the project took less than three months. The final data transfer was completed over the allotted weekend, and was up and running in time for a China-based business unit to log in and start using it Sunday night.

“It was a bit of a nail-biter, but in retrospect, it went so smoothly that it almost felt like a non-event for the end users,” Puleo recalls. “We didn’t inconvenience the business at all.”

The migration also included other, non-SAP systems, including document management, expense management and sales tax systems as well as other middleware systems and data warehouses. “With Managecore, it was executed so perfectly that it surprised everybody,” says Puleo.  In addition to the smooth transition, BK Medical is happy to have Google Cloud and Managecore worry about infrastructure and security so it doesn’t have to. What’s more, the occasional outages experienced with the previous on-premises deployment have become a thing of the past.

“Managecore’s partnership between Google and SAP delivers tremendous value for our customers,” says Frank Powell, Managecore President/Partner. “This was a great opportunity to architect a Google Cloud environment tailored to BK Medical’s needs and perform a cloud migration of their complete SAP landscape that minimized the impact on not one, but two companies. The Managecore team is also happy to provide ongoing support of BK Medical’s cloud infrastructure and SAP applications so they can focus on running their business.”

Looking forward to the future

With the migration complete, Puleo is focusing on building his SAP team, fine-tuning configuration, and cleaning out any outdated artifacts from the database. “Once that team is together and we get all the immediate rush issues resolved so that we can continue our business, we’ll start planning for the S/4HANA upgrade,” he says. This upgrade will give BK Medical a number of key benefits, including improved reporting to replace both the manual processes that involve Excel spreadsheets and external databases.

In addition, the company still shares a third-party manufacturing execution system (MES) solution with its former parent, and it hopes to migrate that functionality to SAP as well. “It’ll be great to get all the metrics to gain visibility into our manufacturing variances, see how well we’re doing and how we can improve the business,” says Puleo. “We’re barely touching what SAP can do for manufacturing.”

He’s also impressed by the array of tools that Google Cloud offers, such as BigQuery and advanced data analytics, and hopes to take advantage of them in the future. “Those would definitely be solutions that we’ll look at, as well as other reporting tools that Google might offer that will come in handy,” Puleo explains. “We’re a really data-driven company. We have a lot of engineers and a lot of marketing teams that are looking for this data, and we’re looking forward to providing it.”

[C2C Blog] The Right Team: Managecore and NextGen Build for the Future Using Google Cloud

Migrating SAP applications to the cloud can be a complicated, time-consuming undertaking. The road to a successful cloud migration project and a stable cloud environment is often filled with twists, turns, and hurdles. Yet, there are steps your organization can take to ensure success. Earlier this year, NextGen Healthcare migrated from a private cloud landscape to a public cloud landscape with Google Cloud while also upgrading to the SAP HANA database in the same project.

“This project is not as simple as moving to a different location,” said Karen Bollinger, Vice President of Business Applications at NextGen Healthcare.

To ensure a successful migration project, the healthcare technology organization partnered with Managecore, a technical managed services company focused on SAP. Bollinger emphasized that collaboration was one of the keys to the project’s success and set NextGen Healthcare up with a stable cloud landscape and laid a foundation for future growth on Google Cloud.

“If done properly, the promise of the cloud can truly be achieved,” he said. “You just need the right team.”

The Need for a Change 

Before beginning this project, NextGen Healthcare had been leveraging SAP for about a decade. The company was running several SAP solutions, including SAP ECC, SAP Business Warehouse, SAP Business Planning and Consolidation, SAP Financial Accounting, and SAP Controlling. NextGen Healthcare already had an existing partnership with Managecore when Bollinger approached the organization to assist with doing some security-focused work on NextGen Healthcare’s SAP landscape.

The conversations between the two organizations evolved into how NextGen Healthcare would transition to Google Cloud. NextGen Healthcare had been thinking about moving its SAP landscapes from another hyperscaler. Bollinger noted that NextGen Healthcare hoped to work with a managed service provider that offered increased transparency and more flexibility with their cloud environments.

Making the Transition 

In addition to migrating to Google Cloud, Managecore also updated NextGen Healthcare’s SAP database, implementing SAP HANA in under six months.

“When we are moving organizations to the cloud, we are always trying to get the biggest bang for our buck,” Powell said.

This led NextGen Healthcare to see a significant improvement in the stability of its SAP landscape, better up times, and overall improved performance. Managecore also helped NextGen Healthcare decrease its monthly hosting costs and gave the organization a foundation to improve its SAP landscape in the future.

“The world is their oyster,” Powell said. “NextGen Healthcare is in a perfect position, from a technology standpoint, to take advantage of the Google Cloud Platform.”

Bollinger noted that this transition has NextGen Healthcare in a position to migrate from SAP ECC 6 to SAP S/4HANA, giving them both the ability and the agility to tackle that project in the future.

Keys to Success 

According to Bollinger, one of the keys to this project’s success was having Managecore as a partner.

“You need a great partner,” she said, emphasizing that organizations need to collaborate with partners that have both expertise and experience. Powell highlighted the caliber of the team working on this migration, noting that successful teams need to know how to “tune” SAP applications to run in Google Cloud efficiently.

Both Bollinger and Powell emphasized that this was a collaborative effort and that the project’s success is due to the expertise and partnership among the project’s team.

In the enterprise technology game, migrating an enterprise SAP® landscape is nobody’s idea of a good time. In fact, the process of uprooting and relocating business-critical SAP applications can be flat-out terrifying.

Today, many more IT organizations are getting a taste of this classic white-knuckle migration experience as companies begin moving their on-premise SAP environments to the Cloud. Many organizations, however, are learning how to hop off the roller coaster and opt for a simpler, easier, surprise-free SAP Cloud migration experience.

If that sounds like a direction, you’d like to take your company’s SAP Cloud migration, read on!

The Managecore team has done some really impactful work in the pursuit of this goal, but it’s important to understand the big picture: how our technology and services complement SAP’s migration and Cloud hosting support offerings; and how Managecore helps companies get value from their SAP Cloud migrations in unexpected and sometimes surprising ways. Today, we’ll shed some light on these very important questions.

The Balancing Act That Drives SAP’s Success: RISE with SAP

Let’s begin by looking at SAP’s key Cloud migration and managed hosted offering: RISE with SAP. In early 2021, the Managecore team was involved in some of the very first RISE with SAP deals, and today we’re just as supportive of SAP’s work in this area. RISE with SAP is clearly hitting the mark in terms of giving companies that critical extra measure of ROI potential, financial returns on licenses, help with maintenance costs and the overall confidence in the migration process itself. And by any measure, that’s a very good thing.

It’s important, however, to keep a couple of important points in mind when you think about how RISE with SAP, in particular for those SAP customers that are ready to begin your Cloud migration journey.

First, understand that RISE with SAP is shaped to deliver the greatest possible value to a very large and diverse segment of its customer base. That means striking the right balance between a number of different priorities—for example, focusing its hosting options on customers that are moving to the Cloud with new or existing SAP S/4HANA systems and helping them make the leap into the Cloud that much easier (via lift and shift), while still showing some love for customers running older Business Suite applications with some Cloud hosting capabilities.

Understanding this is critical when making your decision to leverage RISE with SAP as a way to minimize migration cost and risk. But this also means that RISE with SAP won’t be everything to everybody: it can’t support every corner of a vast and varied SAP technology ecosystem without diluting the things it does very well.

The High Cost of Falling Short on Due Diligence

At the end of the day, SAP does exactly what it should do in this situation: it discloses to customers exactly what RISE with SAP will and will not support. And it leaves the responsibility for due diligence with the customer, which is where it should be.

Unfortunately, many enterprises simply don’t have the IT bandwidth (or in some cases the right internal expertise) to parse RISE with SAP disclosures and documentation, and to ask the basic questions: How much of our current SAP environment can we migrate through RISE with SAP? What are our options for dealing with the remaining applications and who will manage these if they are not included in the RISE with SAP solution? What does all of this mean for scoping and scheduling our Cloud migration?

Finally, keep in mind that managing complexity isn’t just about the applications that RISE with SAP cannot support, but it’s also about understanding what the RISE with SAP options are and add-on capabilities that can elevate migration ROI for years to come. Two examples:

  • SAP Business Technology Platform (BTP) consumption credits give customers thousands of options for enhancing a RISE environment: from SAP S/4HANA integration (including over 2,000 prebuilt integrations) to database management to SAP Intelligent Robotic Process Automation (SAP Intelligent RPA) and other analytics tools
  • Access to a comprehensive set of services related to lifecycle management, analytics, support, and more addressing everything from employment assistance and legacy code maintenance, to supply chain process improvement, business scenario planning, and intelligent business design.

Here’s my point: Taking full advantage of the opportunities that RISE with SAP has to offer that include Cloud migration support requires the ability to make sense of a huge amount of information and to make a lot of very important choices—and to do it all in what may be an impossibly short amount of time. Throw in an already overstretched (and overstressed) IT team, and you’ve got a recipe for disappointment and frustration as SAP customers discover that they simply don’t have the required knowledge and experience to navigate the RISE with SAP due diligence process.

Making Sense of the ‘Unknown Unknowns’

Helping enterprises rise above these challenges is a big part of the Managecore value prop. SAP Ends a Preferred Partnership — and Embraces Customer Choice

It’s official: SAP® and Microsoft Azure are ending the Embrace partnership that gave Azure “preferred” status for customers running S/4HANA in the cloud. Instead, SAP has a new message for its customers: run your SAP S/4HANA and other enterprise applications wherever you want.

SAP’s decision to unwind its arrangement with Azure reassures customers that SAP is there to support them no matter where they choose to host their applications. And for Google Cloud in particular, there will be more opportunities to show SAP customers how to use the Cloud as a platform for innovation and growth.

All of these changes, however, begin with one fact: SAP customers see choice and flexibility as a major part of the cloud value proposition. A recent study drives home this point: 92% of enterprises are now implementing multi-cloud strategies, and the same enterprises run workloads across an average of 2.6 public Clouds.*

Those numbers reflect the reality of today’s cloud as a dynamic and rapidly evolving environment — one where the idea of a “preferred” Cloud no longer resonates with most enterprises.

The true payoff here depends on which choices SAP customers make. As a Premier Google Cloud partner, we’re excited to see more customers discover Google Cloud because we know what they’ll discover: powerful and unique AI/ML capabilities, advanced analytics, real-time processing for massive datasets, and an ideal platform for building modern cloud-native applications, among many other capabilities.

We love to share customer stories that show how Google Cloud walks the walk when it comes to delivering value. Cost-cutting is an important part of this value story — most Managecore customers cut their operational costs by 30%-40% when they run SAP on Google Cloud — but it’s not the whole story. For example:

  • One Managecore customer, FFF Enterprises, currently runs its SAP environment on Google Cloud 80% faster than it did in a private Cloud .
  • Another customer, BK Medical, migrated its SAP environment to Google Cloud that included a 680GB database and two data warehouses, along with a single sign-on implementation. When getting the right product to the right person is a matter of life and death, you don’t want to have to worry about how well your ERP system is performing. That’s why FFF Enterprises, Inc. (FFF), a leading supplier of critical-care biopharmaceuticals, plasma products, and vaccines—including those used to protect against COVID-19—chose to migrate its core SAP enterprise applications to Google Cloud. “Our mission is to secure the biopharmaceutical supply chain and ultimately achieve the goal of ‘Helping Healthcare Care,’” says Brian Wemple, SAP Technical Manager at FFF. “We’re 100% dependent on the ERP system. It runs the business by integrating with our e-commerce systems; our pick, pack and ship; and our business intelligence. It has to be always available and always accurate.”

FFF’s business and reputation depend on having a secure, reliable, and high-performance technology backbone. “Our supply chain security is second to none,” Wemple says. “With over 33 years of counterfeit-free product distribution, we take pride in the fact that our healthcare providers can purchase through us with confidence, knowing we make the safety of their patients our top priority. Our commitment to purchase directly from the manufacturer ensures the integrity of our supply channel is never compromised.”

In 2016, FFF chose to host its SAP S/4HANA on-premises applications—including SAP’s Business Intelligence suite, BusinessObjects (BOBJ)—on a private cloud in hopes of increasing scalability. But the results fell short of expectations. “To upgrade a server, we had to place a change order to get a statement of work quote from the hosting company, approve the statement of work, then wait for the hardware to be provisioned and turned over to us to install and configure the application,” Wemple recalls. “Not quite the nimble, rapid response we were looking for.” After running SAP on legacy infrastructure for some time and experiencing core switch outages, server outages, multiprotocol label switching (MPLS) edge router outages, and other issues, FFF knew it needed to revisit its technology infrastructure.

Google Cloud and Managecore: Deep experience with SAP

After reviewing its options, FFF chose to migrate from its old hosting platform to Google Cloud. “Our decision was based on many factors, such as the ability to spin up and down servers on demand, as well as the strong relationship between SAP and Google Cloud,” Wemple explains. FFF selected Wisconsin-based Managecore, a Certified Premier Google Cloud Partner, to perform the migration with ongoing SAP and Cloud managed services thereafter. “Managecore is our partner for our entire SAP environment,” Wemple notes. “Their knowledge of Google Cloud is superior to anybody else that I’ve spoken with, and with that extra knowledge, they’re able to offer solutions that both reduce our costs and improve our performance.”

Managecore performed the migration to Google Cloud in the tight 12-week time frame that FFF required and upgraded FFF’s IT architecture to support better availability and reliability for its SAP systems. FFF now runs critical SAP S/4HANA applications, including BusinessObjects, Sales and Distribution, Material Management, FICO, Warehouse Management, and more, on Google Cloud all managed by Managecore.

A faster, more dependable infrastructure with  80% improved performance

The move to Google Cloud also paves the way for further digital transformation, including advanced analytics and Internet of Things (IoT). “Since we went live on the Google Cloud in January 2019, we have expanded our footprint at Google Cloud,” Wemple says. “We’re now taking advantage of Google Cloud technology such as BigQuery, Cloud Data Fusion, Kubernetes Engine and IoT tools, just to name a few. Managecore has been helping us along the way, putting everything together.”

The challenge: A lack of agility

Although Pega ran its SAP suite in a third-party data center, it was architected with traditional servers and storage and lacked the scale and agility necessary to keep up with Pega’s needs. Adding more capacity, for example, required too much work and coordination with the hosting provider, which often led to unacceptable levels of downtime. Instead of focusing on the transformational initiatives that Pega required for growth, the company’s IT team was putting time and resources into making sure its SAP systems were running correctly.

The solution: Less maintenance for IT, more insights for the business

Pega considered several public cloud providers with a particular focus on enterprise architecture, flexibility, and operating costs before settling on Google Cloud. “SAP on Google Cloud is a repeatable and proven architecture. We were confident that we would be in good hands and have a smooth transition,” says David Vidoni, Vice President of information Technology, Pega.

Working with Managecore, an SAP on Google Cloud Specialization partner, it took Pega just  nine weeks to move 30 servers onto Google Cloud. Managecore helped Pega manage changeover, testing, and integration of the customer-facing solutions that run internally and integrate with the SAP environment. Additional assistance came from the Cloud Acceleration Program (CAP) from Google Cloud, a critical enabler for Pega, offering SAP customers tools to simplify the migration process and financial incentives to defray infrastructure costs.

For Pega, the move to Google Cloud is allowing them to deliver better service to their customers. According to Vidoni, “Google Cloud enables us to provide a higher level of service by minimizing downtime and outages. As we grow, adding capacity to meet our clients’ needs is a lot simpler.”

Other benefits of the SAP on Google Cloud migration include reliability, scalability, and agility:

  • Reliability: Google Cloud infrastructure has significantly reduced the strain on Pega’s IT resources. Pega has found that since moving to Google Cloud, the IT team has cut the time it spends on SAP operational maintenance by two-thirds.
  • New analytical capabilities: Having fewer maintenance tasks means getting more time to analyze data that reveals customer needs and how to fulfill them. The move to Google Cloud has made it easy to connect data from SAP HANA. Richer data integration makes for faster and better-informed decisions. Per Vidoni, “Data is our lifeblood. We are making it easier to find the information we’re looking for to get actionable insights and to gain an edge over our competition.”
  • Scalability and performance: Pega has benefitted from improved performance and a new ability to scale up and scale down resources as needed. For example, Pega will now be able to provide field teams with sandbox SAP HANA environments where they can test out new integrations with its software development platform. Spinning up these development environments is much easier and faster than it was before migration.
  • Security and compliance: Google Cloud has helped provide a much stronger security posture for SAP HANA implementation. Pega’s disaster recovery processes are now more streamlined, and compliance testing is easier as well.

What’s next for Pega

Now that Pega’s SAP applications are up and running on Google Cloud, the company is setting its sights on moving its SAP ERP environment from ECC to S/4HANA, which will allow it to take advantage of entirely new, cloud-centric capabilities within the suite. In the meantime, however, Vidoni continues to explore the opportunities that Google Cloud offers to transform the way it provides systems and services to customers at scale. “Running SAP in a future-ready environment means that we can deliver the best possible service to employees and customers today and tomorrow.”
